Myna Third-Party Participant Notice

What is Myna?

Myna is an internal Apple AI tool used by Apple team members to capture meeting notes and action items during business meetings (the “Myna Summary”). If you are participating in a meeting where an Apple employee is using Myna — either in person or virtual — this notice explains how the tool works, what safeguards protect your information, and how you can request access to or deletion of your data.

How Myna Works

Myna uses audio transcription and closed captions to generate a Myna Summary in real time. Here’s what happens during your participation:

Audio Processing: The tool processes audio from your participation directly in the Apple employee’s device memory for real-time transcription.

No Audio Storage: Myna does not create, save, store, or transmit audio recording files. All audio is processed temporarily and then discarded.

Transcript Generation: Meeting transcripts are generated on the Apple employee’s device and remain temporary during the meeting.

Summary Creation: After the meeting, the Apple employee’s device generates a summary using sanitized transcripts (containing only first and last names of speakers).

Local Storage: The Myna Summary is stored on the Apple employee’s device. No audio, raw transcripts, or meeting artifacts are transferred to external servers or retained by Apple beyond the organizer’s local device.

Safeguards Protecting Your Information

Apple has designed Myna with privacy and security as core principles:

On-Device Processing: All transcription and summary generation occurs locally on the Apple employee’s device, not on Apple’s servers.

No Recordings: Unlike traditional meeting recording tools, Myna does not create permanent audio files.

Limited Data Retention: Only the Myna Summary is retained by the meeting organizer. Raw transcripts and audio are ephemeral.

Minimal Personal Data: Summaries contain your first and last name to identify speakers, not other personal information.

Meeting Organizer Responsibility: The Apple employee organizing the meeting is responsible for the Myna Summary including reviewing it for accuracy, appropriate use, any necessary revisions and sharing.

Your Rights and Choices

Consent and Notification. You will receive notice before Myna is used in your meeting. Notice can be through a calendar invite note, verbal from the meeting organizer (before any captures begin) and (if Webex) visual notice in the meeting.

If you do not consent to having your participation processed by Myna, you may inform the meeting organizer you object — at which point, if the meeting has already started, the use of Myna must cease. Alternatively, you may decline to attend and request an alternative way to receive meeting information afterward.

Apple respects your choice and will not proceed if you object to the use of Myna in the meeting.

Your Data. The Myna Summary is managed by the meeting organizer and is used for internal Apple business purposes only. If you want to review, access, delete, or request changes to information about you captured in a Myna Summary, please contact the meeting organizer. Prohibited Uses

Myna is intended solely for Apple business purposes. Apple employees are prohibited from using Myna in the following situations:

Without Your Consent: If you object to the tool’s use, the employee must turn off Myna or allow you to leave and provide a reasonable alternative to catch up on the meeting afterward.

Surveillance: The tool may not be used for any form of secret recording or illegal surveillance.

Changes to This Notice

Apple reserves the right to update this notice at any time. Your continued participation in a meeting with the use of Myna constitutes your agreement to the then-current terms.
